The nonprofit George Miksch Sutton Avian Research Center, an internationally renowned ornithological research and conservation organization was named after the renowned Oklahoma ornithologist, artist and professor George “Doc” Sutton whose life’s work embodied a spirited passion for birds. Our mission is “finding cooperative conservation solutions for birds and the natural world through science and education.”  The administrative building is located near Bartlesville on 40 heavily-wooded acres that overlook the Caney River.

The Sutton Center’s first project was to help bring back the Bald Eagle to the southern United States. The innovative techniques were so successful that the Bald Eagle was officially removed from the Endangered Species List. In fact, when you see a breeding pair of Southern Bald Eagles in our state, you can trace their genetics back to the Sutton Center!  The Sutton Center with a team of dedicated volunteers, continuously keeps watch over these birds and monitors their nesting sites.

Following our success with Bald Eagles, we are focused on the recovery of two of the most endangered birds in North America: the Attwater’s Prairie-Chicken and the Masked Bobwhite. Through lessons learned by the successful reintroduction of the bald eagle, we are giving these birds a fighting chance for survival through our captive rearing and release programs.

Job Description

At the Sutton Avian Research Center customer service, communication and organization are key to our success.  We need an office administrator with excellent organization skills and a personable disposition to join us in our conservation mission. Although our projects span the nation, we are a small nonprofit with excellent financial stewardship. The ideal candidate is conservation-minded, has a natural ability to roll with the punches, and is flexible enough to handle anything that might come our way. The Administrator will be a strong and reliable support to company operations, maintain and create procedures, and communicate both within the organization and with the public. Not only will their efforts allow Sutton to engage with the public and achieve organizational efficiency, they will nurture the upbeat work environment our people love.


Objectives of the Position

  • Oversee the customer experience and ensure a personal, friendly experience for anyone contacting the Sutton Center online, in person or by phone, and maintain complete accessibility in both availability and warmth of character
  • Ensure peak organizational operations and provide preventative measures by identifying issues
  • Implement established policies and procedures, measure outcomes against standards, and improve operational flow when identified
  • Coordinate internal and external resources, and cultivate relationships with vendors and supporters
  • Organize and grow external communication efforts on all platforms (Facebook, Twitter, Instagram, LinkedIn)
  • Manage databases


Daily and Monthly Responsibilities

  • Maintain office efficiency by maintaining appearance of common areas, organizing procedures, handling correspondence, managing filing systems, and overseeing supplies and equipment
  • Oversee the day-to-day activities of the office as the main point of contact in the office, keep management informed of performances by running reports
  • Provide direct administrative supports as needed, including scheduling appointments, meetings, and events, booking travel, gathering information, maintaining filing system, collecting receipts and invoices, mailing and shipping packages, and updating contacts
  • Oversee and maintain office equipment for uninterrupted function, identify and fulfill office supply needs, maintain and manage vendors, and arrange hospitality as needed
  • Manage office space/infrastructure planning
  • Collaborate with scientific staff to gather and organize information for social media posts, create and schedule posts (Hootsuite, Facebook, Twitter, Instagram, LinkedIn)


Skills and Qualifications

  • 2+ years of office administration experience
  • Strong time-management and people skills, flexibility, and multitasking ability
  • Advanced computer skills and experience with online platforms
  • Excellent writing and proofreading skills
  • Proficiency with Microsoft Office, with aptitude to learn new software and systems
  • Database experience, with willingness to learn the Neon donor management system
  • Maintain professional confidentiality


Preferred Qualifications

  • Bachelor’s degree or equivalent
  • Previous success in office administration and communications
  • Engaging personality and optimistic outlook
  • Experience developing internal systems
